Part Time Supporter Relations Worker (Admin / Retail / Reception)

£9.50 per hour


9.30am to 3pm – Monday, Wednesday and Friday



We’re looking for an organised, motivated person to join our small team and assist with overseeing our reception services and charity shop, and our relationships with supporters of YMCA Doncaster’s work.


You will be based in our Community Centre and will be responsible for dealing with a wide range of clients, supporters, business customers and other callers.


The role includes various administrative duties and requires a commitment to efficiency and an ability to prioritise according to YMCA Doncaster’s needs.


MS Word and Excel are essential to the role, as is the ability to handle money.


You will often be working alone on reception or in the charity shop, and you need to be adaptable and able to take sole responsibility for your area of work.


YMCA Doncaster has a small team of around 20 full and part-time staff, working together to provide services to some of the town’s most vulnerable young people.

Main Responsibilities  


To take responsibility for the opening, closing and ongoing security of relevant work areas including the Community Centre and Charity Shop.


To assist at events and fundraising activities.


To carry out research tasks and reporting.


To provide administrative support for key areas by agreement with the Line Manager.


To oversee the relationship with designated supporters.


To cover reception duties, including dealing with visitors and callers in accordance with written instructions, organising meeting rooms, processing incoming and outgoing post, receipting cash and preparing income for banking.


To cover the supervision of YMCA Doncaster’s Charity Shop, maintaining a clean, safe, welcoming and professional retail environment.


To receive, sort, price and display stock in order to maximise income.


To organise online sales of donated items in accordance with procedure.


To organise collections of appropriate large donations.


To recruit, select, induct and supervise volunteers and placement staff as necessary.


To ensure that Health and Safety arrangements and organisational procedures are complied with at all times.


To develop and maintain an excellent understanding of all of the services provided by YMCA Doncaster.


To develop and maintain professional relationships with members, clients, users and with other staff, and to maintain confidentiality at all times.


To represent the Association positively in all relationships, both internal and external.


To work to the policies and procedures of YMCA Doncaster.


To cover other duties where necessary in times of absence or vacancies.


Other reasonable duties as required from time to time by the Line Manager.  



Person Specification 


Efficient, accurate and organised administration skills.


Able to attend shifts reliably and on time.


Able to work alone and to take personal responsibility for own performance.


A sound educational background and recent experience from work, volunteering or personal projects.


Experience of supervising or instructing others.


A commitment to maximising additional support and income for YMCA work.


Proficient in the use of Microsoft Excel and Word.


Comfortable with cash handling and accurate till work.


Ability to communicate clearly, sensitively and professionally in writing, on the telephone and in person with a broad range of people.


A good eye for visual presentation and design.


Able to move furniture and other large items safely.


Able to collect grocery donations on foot from local donation points regularly as required.


Able to carry out monitoring patrols, and to move meeting room provisions, across indoor areas including three floors and two stairways.


Able to react appropriately in challenging situations.


Assertiveness and tenacity where necessary.


Able to represent YMCA Doncaster positively and professionally.
