Job Description

Sasse is recruiting for a Purchasing Administrator for our supplies department, located at the company head office in High Wycombe. The Purchasing Administrator is responsible for all goods purchasing with the business which will be handled by the supplies department.

The purchasing administrator is responsible for product research via existing and new suppliers, ordering from suppliers using existing processes, booking in of stock, stock management. The desired candidate must demonstrate attention to detail while following department processes to ensure accurate stock control and department financial & asset stability.

Due to the diverse nature of the role the candidate will be involved in a variety of tasks including purchasing, managing suppliers, digital and verbal communication with colleagues including administering the central email box. With a dynamic, fast paced environment, the desired candidate will have a positive can-do attitude and support other team members within the supplies team.

The ideal candidate will have the following required skills and experience:

  • Experience in Purchasing/Supply Chain management.
  • Experience with negotiation and managing supplier agreements
  • Strong analytical skills
  • Proactive approach to all aspects of work, especially problem solving and forward planning
  • An experienced user of digital tools and systems for supply chain and logistics management

Main duties:

  • Purchase all goods and services in line with specified cost, quality, and delivery targets
  • Ensure all purchases are carried out in compliance with Sasse’s procurement policy.
  • Build and maintain supplier relationships, Negotiate with suppliers for improved prices, terms of business and review opportunities
  • Contact suppliers to resolve price, quality, delivery or invoice issues
  • Undertake regular data maintenance activities, (e.g., supplier details, open purchase orders, correct pricing etc.)
  • Manage and maintain product re-order levels by running and analyse sales reports to identify product on a monthly basis
  • Monitor and engage in the supplies digital tools for internal and external communication
  • Monitor price increases from suppliers and ensuring this communicated within the supplies team
  • Maintain and update all price support documentation for suppliers on a monthly basis in line with the suppliers deadline
  • Request and obtain all invoices and statements for purchase made and ensure these are sent to the finance department for payment in a timely manner
  • Undertake and maintain all department procedures in an accurate and accountable structure including but not limited to back ordering and month end procedures.
  • Stock to be booked in the same working day as it arrives from suppliers
  • Ensure that stock received accurately reflects the delivery note and is accurately booked into the supplies system
  • Regularly self-audit own procedures and complete random and ad-hoc stock takes to ensure accuracy & continuity

Additional duties:

  • Conduct market research for purchase requests and actively engage in product, supplier and innovation research which benefits the business
  • Be an effective communicator ensuring timely & accurate information sharing with colleagues within the Sasse UK organisation
  • Maintain accurate product codes within:
  • Digital ordering system
  • Warehouse racking system
  • Complete full annual stock take and report for auditing purposes

  • Attend department?meetings?
  • Shared responsibility for call handling?and customer enquiries?
  • Ad-hoc duties as directed by the immediate management team and head of department that may include providing cover for staff sickness & holiday in the warehouse & office.
