Job Description

In this role you will need to request utility record plans from statutory authorities in preparation for the collation of data to enable the issue of reports, meeting client timescales and requirements.

Responsibilities of Job:

Record Searches:

• Receive instructions from relevant personnel to understand the scope of work allocated
• Liaise with colleagues and authorities to enable you to collate responses
• Complete necessary and relevant desk research as required for each search
• Prepare, issue and update documents within agreed timescales
• Raise disbursement cheque/payment requests, seeking authorisation as necessary and updating system
• Prepare basic reports for checking and approval by Searches Manager
• Assist with the preparation of reports for approval by Consultant and/or Manager
• Answer calls received by the Searches team in line with company standards
• Process incoming project correspondence in a timely manner
• Proactively chase for responses, keeping your line manager informed of your progress regularly
• Proactively escalate issues to your line manager and/or external hierarchy as required confidently
• Attend meetings with relevant staff to review progress/status and prioritisation of projects
• Keep the Searches Manager appraised of project progress
• Establish and maintain excellent working relationships with statutory authorities & clients
• Identify key contacts and organisations to approach and maintain the company database
• Contribute to and always operate in accordance with company policy and systems

Person Specification: (e = essential, d = desirable)


• GCSE’s Grade A-C (or equivalent) in English and Maths (e)
• Basic knowledge of Microsoft Office suite (e)
• Accurate keyboard skills with the ability to enter data at the required speed (e)
• Excellent spelling, grammar and punctuation skills (e)
• Ability to analyse, interpret and translate data into relevant reports (e)
• Level 3 QCF Certificate in Utility Mapping and Surveying (d) – training will be given


• Excellent organisational and prioritisation skills (e)
• The ability to manage conflicting priorities and meet tight deadlines (e)
• Excellent interpersonal skills with all levels of business personnel (e)
• A self-motivated team player with the ability to work on own initiative (e)
